Job Summary:
One of our clients, a large municipal organization, is looking for a Reception and Support Worker. Under the supervision of the Director of the administrative unit, the incumbent greets clients at the counter, receives telephone calls from clients and the general public and answers their questions or transfers calls to people who can answer their needs. The incumbent also performs the usual receptionist work and performs certain support activities to ensure administrative and clerical support for the sector.
Your duties will include:

-Greets and directs, in a courteous manner and tailored to their individual needs, clients, visitors, vendors, employees, etc., according to procedures and regulations so that individuals have access to the appropriate areas.

-Receives and forwards internal and external telephone calls and messages to the appropriate parties.

-Transmits to the tenant who makes a service call information that may help him/her to temporarily resolve the situation or, in the case of an emergency, contacts the appropriate employee to resolve the problem. If necessary, acts as an intermediary between the tenant and the employee.

-Processes mail (emails, letters and parcels) received, sent or to be delivered: sorting, assembly, closing/opening of envelopes, cancellation, delivery/collection, maintenance of certified mail registers in order to ensure effective communication between the organization and internal and external stakeholders.

-Reproduces and assembles incoming orders from electronic or other files ensuring quality and required specifications are met.

-Supplies and maintains work equipment and tools (printer, photocopier, fax machine, cellular or conventional telephone, obliterator, etc.), keeps the inventory up to date and ensures that the necessary products (paper, envelopes, consumables, etc.) are in stock for printing documents.

-Handles parcels destined for the sector, ensures receipt, verification and proper filing in their repositories.

-Orders office supplies and other materials, performs filing, copying, scheduling, etc.

-Carries out the delivery of keys and paint coupons to tenants and performs the computer entry of the return of the notice of rent determination for the renewal of the lease.

-When required, performs any other related activities that he/she is reasonably capable of performing.

Daytime schedule from Monday to Friday (35 hours/week)
Temporary mandate for an indefinite period
