Job Summary:
One of our clients, a large municipal organization, is seeking a Legal Secretary. The main role of the incumbent is to assist the professionals served (lawyers) in the management of their files and their time. He/she participates in the coordination and follow-up of the various files handled within the administrative unit and suggests operating methods, performs general secretarial work and, more specifically, work of a legal nature. He/she also provides administrative, clerical and office support to the administrative unit.

Your detailed tasks will be as follows:
- Assists his/her immediate superior in all his/her duties

- Obtains, analyzes, verifies, completes and transmits documents and information related to the management of legal files in accordance with legal standards and requirements in addition to the administrative aspects of the files

- Prepares, types, formats, drafts and produces correspondence as well as documents of a legal nature from handwritten, stenographic or dictaphone-recorded texts, such as civil proceedings and various documents for the common law and administrative tribunals

- Ensures the follow-up of files through docketing and with the docket masters of the various judicial bodies

- Performs the final revision of documents and ensures the quality and accuracy of the presentation, compliance with legal procedures, absence of grammatical, spelling or other errors

- Manages the daily schedule of deadlines set out in the Code of Civil Procedure and ensures that it is followed according to the rules applicable to the legal procedures of the various courts.

- Maintains various reports, lists, registers, hearing lists and law books

- Maintains the agenda of the professionals served, sets, moves, confirms appointments, meetings, hearings or others and informs or convenes the persons concerned

- Ensures the follow-up and compilation of personnel attendance records, completes or prepares forms related to vacations, sickness, reimbursement requests or other documents related to personnel management

- Receives, screens and routes mail, telephone calls, e-mails and visitors

- Collects data necessary to prepare or revise requisitions and budgets, and ensures availability of funds; performs invoice verification and payment, budget transfers and budget tracking in the financial system. May be required to manage a petty cash fund for internal invoice reimbursement

- Orders and manages office supplies

- Performs filing, annual declassification and document management of administrative unit documents

- Attends meetings, takes notes of discussions and prepares minutes reflecting the spirit of the discussions and decisions made

- Performs, when required, any other related activities that he/she is reasonably capable of performing

Temporary mandate until December 31, 2023
Daytime schedule, Monday to Friday from 8:30 a.m. to 4:30 p.m.
