Job Summary:
One of our clients, a large municipal organization, is looking for an Administrative Clerk for the Housing Intake and Referral Department. Under the general supervision of the Director of the Administrative Unit, the incumbent is responsible for providing administrative support for the planning, monitoring, control and dispatch of all work related to the activities of the Administrative Unit.

Your duties will include:

-Acts as administrative support for the planning, tracking, control and dispatch of all work to the activities of the administrative unit.
Ensures the preparation, follow-up, control or coordination of certain files related to housing, work records, fumigation, elevator maintenance contracts, claims or other such files.

Performs data entry related to the follow-up of maintenance work requests and performs administrative reconciliation of work records.

-Verifies the accuracy of data entered on invoices, purchase orders, delivery slips and other such documents.

-Prepares and executes requisitions.

-Tracks and updates maintenance work lists.

-Completes, prepares and follows up on attendance records, travel records and other related reports.

-Maintains the various computer files of the administrative unit.

-Files and photocopies various administrative documents.

-Ensures the transmission of documents to be given to contractors or external parties.

Prepares reports related to the follow-up of purchase orders.

-Ensures the distribution of maintenance work as needed.

-Carries out or participates in the closing of work requests when required.

Approve, enter and follow-up on contractor invoices.

-Opens and follows up on computerized claims files.

-Processes invoices in the financial system.

-Performs, when required, any related activities that he/she is reasonably capable of performing.

Daytime schedule from Monday to Friday
Workplace: near Rosemont Metro
Temporary mandate until December 31, 2023 with possibility of extension
